At TrueDot, Inc. (“TrueDot” , “we”, “us”, or “our”), we believe our client’s desire for privacy is important, and strive to protect their rights. In light of this, we encourage our clients and their survey participants to read the following ways data is gathered, processed, and stored. We, in compliance with laws that govern data privacy, execute all our responsibilities as a data controller of the data produced by us, and also as a data processor for our client’s data. This privacy policy applies when a client visits or uses our website or utilizes our platform (“Services”), or when a participant answers questions on our platform.

At TrueDot, Inc. (“TrueDot” , “we”, “us”, or “our”), we believe our client’s desire for privacy is important, and strive to protect their rights. We, in compliance with laws that govern data privacy, execute all our responsibilities as a data controller of the data produced by us, and also as a data processor for our client’s data. This privacy policy applies when a client visits or uses our website or utilizes our platform (“Services”), or when a participant answers questions on our platform.

  1. Personal Data Collected

Information that identifies, relates to, describes or can be associated with our clients or their survey participants (“Personal Data”) is collected by TrueDot by our client’s input, a client’s organization, survey participants, from third-party sources, and automated processes.

Data You Provide - This is most often basic information such as name, address, phone number, and email address. Also collected would be the payment information for our clients (e.g. billing address, debit or credit card, and payment confirmation), log-in credentials (e.g. user name, password, and any security questions and answers), and any comments or feedback our clients offer through correspondence with us. This is extended to our client’s  survey results as well.

Data From Third-Parties Third-party sources include business dealings with our client’s  organization, third-parties to which clients permitted to share their Personal Data with us, or third-party data sources such as data brokers, marketing/advertising agencies, payment processors, and government agencies. Any information we obtain from third-parties will be treated in accordance with this Privacy Statement. We are not responsible or liable for the accuracy of the information provided to us by third-parties, and are not responsible for any third-party's policies or practices.

Data From Service Usage - We may collect and use information from our client’s online interactions with us. Online usage information can include IP address, referring/exit pages and URLs, number of visits to our website, the hyperlinks visited, and browser information.  We currently do not utilize cookies.

If a client sends a questionnaire to an individual (survey participants), we may collect IP addresses from those participants in order to protect the security of the resources we use from fraud or detrimental activity.

  1. How We Use Your Personal Data

Providing Our Services - We use our client’s Personal Data in order to provide them with our Services, to create a contract for Services with us, to operate and improve our Services and deliver questionnaires and subsequent data our clients have requested, comply with contractual and legal requirements (including data export laws), to complete billing of Services, and to stay in touch with our clients. Although providing Personal Data is voluntary, without it, we cannot provide clients with access to our Services.

Adherence to Sanctions or Embargoes - TrueDot takes precautions against individuals, businesses, and organizations that are on government issued lists of sanctioned parties, from gaining access to items and Services through our site, including our client’s, and their survey participants’, Personal Data. Alternately, we protect against any such entity from a country to which the United States of America has placed an embargo.  Registrations from any such country will be blocked. To do this, we may use several strategies to ensure user registrations are verified and rechecked if a client updates their Personal Data, and when the government lists are revised. 

Legal and Internal Policies - We can use our client’s Personal Data based on its legitimate interest as follows: 

If requested by law enforcement, we will use client’s Personal Data to assist in preventing or prosecuting criminal activities, and to assert or defend against legal claims;

We may use our client’s survey participants’ Personal Data collected from surveys or questionnaires to improve our Services; and


If a potential client is attempting to obtain our Services for themselves or their organization, we use such Personal Data towards that end.

  1. Sharing of Your Personal Data

Client’s Organization - If a client provides Personal Data to us while using an account created by their organization, that information and usage data collected through our Services may be shared with the authorized administrators of said organization to analyze the Services usage, management and compliance, or budgeting.

Our Companies and Service Providers - We may share some of our client’s Personal Data with our service providers, agents and representatives (e.g. payment processors, customer support, email service providers) in order to complete transactions, provide relevant information to render our Services, and ensure uninterrupted communication with our clients. We share this information keeping in mind our desire to conform to this Privacy Statement, and any other applicable security and privacy measures.

For Legal Reasons - We cooperate with government and law enforcement officials to enforce and comply with the law. To this end, we may provide Personal Data and any other information about our client’s or their survey participants to said officials if we believe it is necessary to comply with a judicial proceeding, bankruptcy proceeding, court order or other legal obligation or government inquiry to protect the safety, property, or rights of ourselves or survey users, or to prevent or stop any unethical, or legally actionable activity, or to comply with the law.

  1. Client’s Communications Preferences

Clients may manage their communication preferences with us by updating their account, by unsubscribing from emails or other messages, or by contacting us directly. 

  1. Accessing and Updating Personal Data

Client’s and Survey ‘Participants’ Rights - Depending on where clients or survey participants are located, they may have certain rights with respect to their Personal Data, including: 

Right to Request Access/Portability - Clients and their survey participants may have the right to request access to Personal Data that we store about them. This information may be sent to them or a third party of their choosing. The client will need to indicate the specific information or processing activities to which their request applies.

Right to Request Correction - Clients and their survey participants may have the right to request their Personal Data be corrected if there is an inaccuracy found. We will need to verify the information before making any changes.


Right to Request Restriction - Clients and their survey participants may have the right, under certain circumstances, to request the restriction of processing their Personal Data. There can be no legal grounds in place requiring us to process said Personal Data.


Right to Request Deletion - Clients and their survey participants may have the right to request that we delete their own Personal Data. TrueDot will only honor such requests if there are no legal obligations or right of ours to retain it.


Right to Withdrawal - Clients and their survey participants have the right to withdraw their former consent to our collection of Personal Data. That action would not affect any Personal Data that had already been processed or shared with a third party.


Please note that if a client or their survey participants requests deletion of their own Personal Data or withdraws their consent to collect the same, such entities would no longer be able to continue to use any of our Services. Also note that we will not consider requests that are baseless, deceptive, exaggerated, fraudulent, or are not otherwise required by local law.


For individuals within the State of California, our clients and their survey participants are protected by the amended California Consumer Privacy Act (“CCPA”), which gives them:


The right to know what Personal Data TrueDot collects about them and how it is used and shared;

The right to delete Personal Data collected from them (with some exceptions);

The right to correct inaccurate Personal Data that we have collected about them;

The right to limit the use and disclosure of sensitive Personal Data collected about them;

The right to opt-out of the sale or sharing of their Personal Data; and

The right to non-discrimination for exercising their CCPA rights.


To exercise these data protection rights, address a request to privacy@truedot.ai. Please supply: full name, organization name, address, and the right(s) wished to exercise. Clients and their survey participants can choose a proxy to submit requests on their behalf to us once we have verified their identity. When attainable, we will match Personal Data provided in the request with information already maintained by us. 


If our client or their survey participant is a California resident, in accordance with the verification process set forth in the CCPA, we will require a more rigid verification process to minimize the harm that might occur to our clients or their survey participants if their Personal Data were to be given to an unauthorized party.  We may need to ask for additional information for verification purposes and said information can only be used for that purpose.

  1. Personal Data Retention

We retain our client’s, and their survey participants, Personal Data for as long as necessary to provide the Services and fulfill the transactions they have requested, to make its Services available to them, comply with legal obligations resulting from applicable data export laws, to fulfill the purposes outlined in this Privacy Statement, or longer if an extended retention period is required or permitted by law.

  1. Children’s Privacy

We will process our client’s Personal Data if they consent to the specific proposed processing of the same. Since a minor cannot legally consent, we do not intentionally collect Personal Data from individuals under the age of 13, unless permission has been granted by a parent or guardian. If a parent or guardian of a minor under 13 believes we have unwittingly collected their Personal Data, contact us at privacy@truedot.ai. We will verify if the claim is accurate, and if so, will delete the child’s Personal Data. In accordance with CCPA criteria, we do not sell Personally Identifiable Information (PII) of any minors under 16 years of age, or of anyone else.

  1. Personal Data Retention

TrueDot complies with applicable data privacy laws in its role as a data controller of its own data and data from its survey participants, and as a data processor of our client’s and their survey participants data. We are GDPR (General Data Protection Regulation) and CCPA compliant. Our clients should seek their own legal advice as to how to comply with privacy laws. We do not issue a notice to opt-out because we do not and will not sell Personal Data.

  1. Changes in Our Privacy Policy

This Privacy Statement is effective as of the date listed at the beginning of this statement. We reserve the right to amend this statement at our discretion, and at any time. Any changes will be posted on this page with an updated revision date. If we make material changes to our privacy practices, we may provide notice by email to our clients at the last email address provided to us, or by means of a notice on our home page. Continued use of our website or Services, following the posting of changes, constitutes acceptance of such changes.

We process all Personal Data in-house. If a client or survey participant believes that we are not processing Personal Data in accordance with the requirements in this Privacy Policy, please contact us at privacy@truedot.ai, or the data protection authority of California, where TrueDot is incorporated.
